Primary Purpose:

Maintain accurate attendance records for the campus. Under direct supervision, perform data entry including attendance, Public Education Information Management System (PEIMS) data, and grades.

 

Qualifications:Education/Certification:

High school diploma or GED 

 

Special Knowledge/Skills:

  • Ability to use personal computer and software to develop spreadsheets, databases, and do word processing
  • Proficient keyboarding
  • File maintenance and 10-key skills
  • Ability to meet established deadlines

Experience:

One years data entry experience

 

Major Responsibilities and Duties:

  • Receive and direct incoming calls, take reliable messages, and route to appropriate staff.
  • Greet visitors (e.g. public, parents, students, substitutes, vendors, etc.) respond to their inquiries and/or direct them to appropriate personnel in accordance with district policies and procedures regarding building security.
  • Maintain visitor log and issue visitor passes.
  • Respond to emergency calls and notify appropriate parties to address immediate safety and/or security issues.
  • Receive deliveries and disseminate materials and information to the appropriate parties.
  • Collect and enter attendance and PEIMS data into established database and verify accuracy of according to established procedures.
  • Prepare and print reports, including attendance reports, grades, class or personnel rosters, end-of-semester reports, or accounting reports.
  • Maintain physical and computerized records, including student cumulative folders, progress and failure reports, class rosters, grade books, and schedule changes if applicable.
  • Process new student records, including requesting transcripts and records from other schools, setting up cumulative folder, and entering student data into appropriate databases.
  • Assist parents, students, and faculty with questions regarding student attendance.
  • Process and transmits requests for student information and transcripts.
  • Call parents to verify student absences as needed.
  • Report all attendance problems to designated administrator.
  • Assist in campus office as needed.
  • Maintain confidentiality.

Maintain emotional control under stress. Frequent standing, stooping, bending, pulling and pushing. Move small stacks of textbooks, media equipment, desks, and other classroom equipment.

Regular district-wide travel to multiple work locations as assigned. Regularly sit, talk or hear; frequently required to use hands to finger, handle, or feel; frequent repetitive hand motions; prolonged use of computer; occasionally lift and/or move up to 10-50 pounds; occasionally required to stand, walk reach with hands and arms; vision abilities include close vision; and color vision, regularly work with frequent interruptions, maintain emotional control under stress; the noise level is usually moderate.  The employee may spend long hours in intense concentration which requires attention to detail.  There are a number of deadlines associated with this position, which may cause significant stress.  The employee must also deal with a wide variety of people on various issues.  Regularly perform multiple, highly complex, tasks with a need to periodically upgrade skills in order to meet changing job conditions and compliance with legal guideline. Flexibility is required to independently work with others in a wide variety of circumstances and integrating into different school environments. Occasionally work prolonged and irregular hours.
